Role Business and Security Administrator
Grade B1 to B2 grade (£28,610 to £33,812) based on skills and experience.
Location Remote.
Contract type Permanent.
Travel Regular pre-planned travel to Head Office in Milton Keynes and attendance at company events (approximately 3 days per year, usually Berkshire).
Hours Full-time (37 hours per week). Some flexibility with start and finish times.
Reporting to Business Manager and Quality Manager/Security Controller.

 

The Role

SVGC have an exciting opportunity for a Business and Security Administrator to join our experienced team. The role involves supporting the Business and Quality/Security Managers across business operations, finance and security administration.

This role will suit someone who has proven experience in a business administration environment and who is disciplined, organised, can take the initiative and has exceptional attention to detail. They must understand the importance of security clearances and the obligations and responsibilities that involves. Additionally, they need to be comfortable working remotely for two busy managers and be willing and able to travel to our Head Office on the outskirts of Milton Keynes on a regular basis.

Responsibilities

Your main responsibilities will be to:

  • Proactively manage a number of company email inboxes, ensuring that enquiries are handled promptly and directed to the appropriate person or department.
  • Answer incoming telephone calls efficiently and professionally, signposting callers to the appropriate person or department.
  • Manage company documentation both on the company server and SharePoint.
  • Support with the quality assurance audit and compliance regulations.
  • Manage general administrative tasks such as co-ordinating and publishing documents, taking notes and managing simple spreadsheets.
  • Become a ‘super-user’ of Projectworks business system software used for monitoring resources, expenses and annual leave. Responsibilities include setting up time and project codes, adding new staff, chasing up timesheets and answering queries from team members.
  • Onboard and offboard team members including issuing new starter documentation and creating induction programmes.
  • Support the Business Manager in the organisation of company conference days and social events including venue sourcing, room bookings and arranging accommodation and travel.
  • Format employee and associate CVs in line with brand guidelines.
  • Process expense claims for members of the Senior Leadership team.
  • Process monthly sub-contractor and purchase invoices.
  • Support the Business Manager in raising sales invoices and activities associated with end of month accounts.
  • Support the Quality Manager (Security Controller) with a range of activities including; facilitation of visits and inspections, ensuring documents are readily available for inspection, liaising with companies in the network to ensure controls are in place for Vetting Sponsor responsibilities including care of personnel.
  • Undertake pre-vetting checks (BPSS) and the subsequent National Security vetting activities.
  • Support the Security Controller to ensure that relevant policies, including the Official Secrets Act, are circulated and understood by all employees – this will include answering employee questions.
  • Supporting the Security Controller to ensure processes are in place to brief/debrief SC and DV cleared staff who may travel to certain foreign countries for work or personal reasons.
  • In conjunction with the Security Controller, arrange security awareness training for employees both during induction and as part of ongoing employment.

Essential criteria

  • Have a Degree or equivalent qualification.
  • Be Security Cleared or willing to gain UK Security Clearance (SC). (For this role you will need to be a British National or hold Dual Nationality, of which one must be British, and have been resident in the UK for three or more years).
  • Be willing to undertake training to become a company Security Controller and deputise for the current Security Controller when they are unavailable.
  • Be willing to deputise for the Business Manager, covering leave if necessary.
  • Have proven experience of using an accounts package (e.g. Xero).
  • Be disciplined and organised, able to multi-task across business, accounts and security administration and be comfortable working remotely.
  • Have excellent attention to detail.
  • Be able to show initiative, confidence and apply lateral thinking to situations.
  • Be experienced in using Microsoft Office including Excel, Outlook, Word and PowerPoint or a similar package.
  • Be confident in using SharePoint.
  • Be located within approximately 45 minutes travel of Head Office in Milton Keynes and be willing and able to attend pre-planned regular meetings.
